Information collected by PF

When you apply for a volunteer position in the study start, we ask you to provide some personal information. That includes:

• Student number
• Study programme
• First and middle name
• Last name
• Email
• Phone number
• Age
• Whether you have a driver’s license
• Preferred team type

How the information we collect is used

• Database
• The primary purpose of collecting your personal information is to create and maintain a database of all volunteer applicants for the study start. This database is necessary for keeping track of all applications and managing the logistics behind the interviews given to volunteers. It is important to note that nothing in the information you submit will affect whether you are selected or not. All information collected here is used solely for logistical purposes.
  
  
• Distribution of Volunteers
  Since we need to assign volunteers to different parts of the study start, it is also necessary for us to use the data from our database for this purpose.

Choices and responsibilities

• Protection of personal information
  We store your personal information on servers with limited access located in controlled facilities. We have security measures in place to regularly ensure that your personal information is handled responsibly, respecting your rights. In short, we keep your personal information confidential.
  
  
• Access to data
  If you wish to know what data we have registered about you in our database, please contact us at kabs@pf.dk. As we take your information seriously, you will be asked to verify your identity before any data is shared.
  
  
• Updating data
  If the information we have about you is incorrect, you move, get a new email, or similar, you can request updates at any time by contacting kabs@pf.dk.
  
  
• Data retention
  If you are selected, we will store your data until you have completed your volunteer period. If you are not selected initially, we will keep your data for up to 6 months in case of dropouts. In the event of a dropout, we may contact you to offer you the position, and in such a case, your data will be retained until you complete your volunteer period.
  
  
• Who can see my data?
  Primarily, only the Coordinator of the Bachelor Study Start (KABS), PF’s board, and PF employees have access to your data. That may change in certain cases, but it will always be clearly stated before you submit your data who else may access it. For example, if you apply for “bums,” the Vectors for the trips you apply for may also have access to the data you submit.
  
  
• Deletion of data
  If you wish to have your data completely removed from our database, contact the PF’s GDPR officer at GDPR@pf.dk. All personal information collected in connection with the study start will then be deleted.
